EXHIBITIONS AND FAIRS COORDINATOR

Job Description

David Kordansky Gallery seeks a highly motivated, extremely organized, and collaborative individual to join our team as Exhibitions and Fairs Coordinator. Reporting to the Registrar, the Exhibitions and Fairs Coordinator works in tandem with the Head Preparator, Registrars, Artist Liaisons, Sales, and Communications teams to plan and execute art fair and exhibition preparation, installation, fabrication, and de-installation. This position is a full-time role, Monday through Friday, and may require flexibility for additional hours based on the needs of the gallery. A generous benefits package is offered.

Requirements
  • Define fine art fabrication, shipping, installation, de-installation, and photography needs and schedules with multiple departments
  • Liaise with vendors, contractors, and fabricators for art fair presentation and exhibition needs
  • Organize, manage, and streamline all exhibitions and fairs budgets, hard costs, and anticipated expenses

    ART FAIRS (APPLICATIONS):
  • Lead the planning process for all art fair applications
  • Track deadlines, submitting applications in a timely manner, factoring in reasonable lead time for all assets across departments

    ART FAIRS (ADVANCE PLANNING & LOGISTICS):
  • Identify art fair deadlines and coordinate all planning and logistics needs
  • Manage and schedule fair staffing needs
  • Manage fair booth exhibition needs, such as lighting, flooring, walls, pedestals, furniture
  • Coordinate the creation of physical and digital booth models and to-scale images for booth layout meetings
  • Oversee the packing and shipment of art fair boxes, ensuring the appropriate tools, books, and/or furniture is delivered to the booth
  • Liaise with Registrars on collection and inbound fair artwork shipments, ensuring all condition reports and COIs are completed in full
  • Secure VIP, client, and artist invites

    ART FAIRS (TRAVEL & EVENTS):
  • Coordinate and book staff travel to/from art fairs
  • Manage and plan for any art fair-related events and dinners, including sourcing estimates; making vendor reservations; compiling invite lists and collecting RSVPs; and organizing menus and seating plans

    ART FAIRS (DURING & POST-FAIR):
  • Problem-solve any complications during the fairs, either on the ground or remotely, liaising with fair and gallery staff as needed
  • Assist in the oversight of fair booth installation and de-installation, working with the on-site preparators, when traveling to fairs.
  • Ensure all artwork from the fairs is accurately disbursed
  • Manage all of the above within the provided budget for each fair, tracking and securing approval for all costs

    EXHIBITIONS & PRODUCTION:
  • Assist with identifying installation and de-installation schedules for each exhibition, tracking logistics as well as managing deliverables and deadlines
  • Coordinate all A/V and technological needs for exhibitions
  • Assist with securing estimates, managing budgets, editing and negotiating contracts with vendors, installation and de-installation coordination, and overall project management of the production of new work by artists for exhibition
Compensation

This is a full-time hourly position (overtime eligible).

The pay scale for this position is $22 – $32 per hour

Qualifications

Our ideal candidate is highly detail-oriented and creative with exceptional organizational skills; an excellent verbal and written communicator; and possesses the ability to work successfully in a fast-paced, deadline-driven environment.

We seek candidates who are extremely self-motivated, responsible, and efficient, and who hold a sincere appreciation for and experience with navigating diverse cultural spaces. In addition:

  • Knowledge of contemporary art and art fairs required
  • Minimum of three (3) years experience in a registrar-related role; experience coordinating domestic and international shipping logistics strongly preferred
  • Minimum of two (2) years experience working at a contemporary art gallery preferred; experience as a registrar at a contemporary art museum or studio manager considered
  • Demonstrated experience in project management, including the coordination of multiple simultaneous deadline-based projects with lead times under twelve months
  • Experience booking domestic and international travel for individuals and groups preferred
  • BA in Modern or Contemporary Art History, Arts Administration, Museum Studies, or related field preferred
  • Skills in a Mac-based environment required, including: Google Suite (Gmail, Calendar, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint) preferred
  • Skills in SketchUp, Rhino, and/or other 3-D rendering program preferred
  • Skills in project management planning visualization, including the use of Gantt chart models and/or experience with Asana preferred – Basic understanding of measurements, fractions, and scale ratios preferred
  • Skills in the Adobe Creative Suite (Acrobat, Photoshop, InDesign) preferred
  • Basic knowledge of databases such as ArtBase / FileMaker (or similar) preferred
  • Fluent in English, fluency in an additional language welcomed
  • Preference is given to candidates with expert knowledge of global contemporary art, including art of the African Diaspora, Latin America, and Asia
